Data Privacy Policy 

1. Commitment

 

Protecting your privacy is a priority for SODEP. The purpose of this Policy is to inform you of the safeguards established to protect the personal information you entrust to our organization, through the Web or our platforms, all in compliance with the rules and laws on privacy protection that apply to SODEP.

SODEP is subject to the Act respecting the protection of personal information in the private sector, S.Q., 1993, c. P-39.1.

 

2. General Principles

 

In the course of our business, SODEP may collect personal information that you provide to us in order to use it for the purposes described below. This Policy details the ways in which SODEP:

  • Collects personal information;
  • Uses that information;
  • Discloses this information to third parties, with your consent, when necessary.

SODEP's staff is accountable for the application of the Data Privacy Policy and personal information management practices.

 

3. Definition of Personal Information

 

Personal information is defined as "any information that relates to an individual and allows that individual to be identified".

 

4. Consent

 

Your consent to the disclosure or use of your personal information must be given explicitly. It will be valid for the purposes mentioned in this Policy as well as for the specific purposes mentioned at the time of consent, if any. Consent will be valid for the period of time necessary to fulfill the purposes specified in the consent or for the purposes specified in section 7 of this Policy and may be withdrawn at any time as indicated in section 12 of this Policy.

 

5. Information exchanged automatically with the server

 

As soon as you access the sodep.qc.ca site, as with any other Internet site, an exchange of information automatically takes place between your computer and our site's server, due to the technological requirements inherent in Web navigation. The following information, which does not personally identify you, is exchanged:

  • the Internet domain name and IP address with which you access our site;
  • the type of browser and operating system used to access our site;
  • the date and time you access our site;
  • the pages you visit;
  • if you reach our site from another site, the address of that site (referral site).

This exchange of information is necessary for the server to send you a file that is compatible with the computer equipment you are using. SODEP also keeps track of the number of visitors, the most visited pages, the technology used by the site's clientele and the referral sites.

 

6. Collected personal information

 

The personal information that SODEP may collect, with your consent and depending on the circumstances, is the following:

  • Nominative information (last name, first name, telephone numbers, postal and e-mail addresses);
  • Date of birth and gender;
  • Credit card, money order or check information;
  • Date of registration as a user of our website.

   

7. Collection of Personal Information

 

SODEP collects personal information when you use our services and voluntarily provide your personal information. For example by:

  • Registering for or participating in an event or activity;
  • Using our services, either at our office or online;
  • Sending a question or comment through any means of communication;
  • Subscribing to electronic communications, such as the newsletter;
  • Purchasing an article;
  • Becoming a member;

The collection of personal information is limited to that which is necessary for the purposes identified in this Policy. At the time we collect your information, you will be given the opportunity to opt-out of having it retained for future use by SODEP.

   

8. Purposes of collection

 

The personal information you provide will be used exclusively for the following purposes:

  • To identify and authenticate you in SODEP's computer system in order to facilitate transactions;
  • To allow SODEP to provide you with a service adapted to your needs;
  • To communicate with you periodically in writing, verbally or electronically to keep you informed of SODEP's activities;
  • To allow SODEP to keep customer statistics;
  • To allow SODEP to manage the sales and subscriptions of members benefiting from the management service, in compliance with tax laws;
  • Allow SODEP to follow up on the purchase, subscription or renewal of your subscription to a magazine.

 

9. Transaction policy and security

 

Your online transactions are secure on the SODEP website. Your information, as well as that of your credit card, has been encrypted to guarantee the confidentiality of the information it contains. Consequently, this message cannot be altered or decoded by an intermediary. SODEP meets the SSL secure transmission standards, so your transaction will always be carried out in a secure manner. Therefore, SODEP does not store any computer data from any transaction regarding credit information.

 

10. Payment

 

Online payment can be made by credit card or cheque. To pay by money order, you must contact SODEP by e-mail or telephone, specifying the product·s you wish to purchase.

11. Prices

 

SODEP is an NPO incorporated in Canada. All prices indicated on the website are in Canadian dollars. Federal and provincial taxes are calculated, according to the items included in the shopping cart, before proceeding with the payment.

 

12. Use, retention and disclosure

 

a) Use of Personal Information

Your personal information will only be used for the purposes for which it was collected in this Policy. We will keep your personal information confidential for as long as necessary.

SODEP ensures the protection of your personal information at all times, through appropriate physical, organizational and technological security measures. SODEP also ensures that access to personal information is limited to staff at the levels specified in Section 13.

   

b) Retention of Personal Information

Your file will be stored digitally on SODEP's computer servers.

 

c) Disclosure of Personal Information

SODEP may disclose your personal information to third parties in the following circumstances:

  • To SODEP's employees, agents and representatives, to SODEP's member publishers, to service providers who, by virtue of a contract for services or services, assist SODEP in its activities, and only for the purposes provided for by law;
  • Unless you refuse that this information be communicated, SODEP may transmit your nominative information (name, first name, telephone numbers, postal address and e-mail) for commercial or philanthropic prospecting purposes, which will be related to the purposes specified in section 7 of this Policy;
  • In all cases where, under the Privacy Act, the disclosure of personal information is possible without prior authorization.

SODEP ensures, to the best of its ability, that these third parties respect the rules and commitments of this Policy by taking all necessary measures.

 

13. Accessibility by staff

 

SODEP takes measures to ensure the highest level of protection for your personal information. To this end, three levels of security have been developed:

  • Very high level: category having access to all your personal information;
  • High level: category with access to some of your personal information;
  • Basic level: category with access to a minimum of personal information.

 

14. Web Cookies and Audience Analysis

 

Some pages on the SODEP website require the use of cookies to help users navigate the site more quickly and to deliver content that is of most interest to them. No personal information is stored in cookies. The use of cookies is standard practice and many popular browsers are initially set to accept them. However, you can set your browser to refuse or disable cookies. If you do so, certain features of our website will no longer be available.

Navigational information may be shared with authorized third parties with whom SODEP collaborates, such as partners. Navigational information does not contain any personal data. SODEP ensures, to the best of its ability, that authorized third parties take the necessary steps to respect your privacy. Authorized third parties include audience analysis services, such as Google Analytics. The SODEP website may contain hyperlinks to other websites. Information exchanged on these sites is not subject to this Privacy Policy.

 

15. Accuracy

 

SODEP takes reasonable steps to ensure the accuracy of personal information when it is used or disclosed. We appreciate your assistance in ensuring that your personal information is accurate by notifying us of any changes to your personal information or any errors that may appear in your personal information.

16. Access, rectification and withdrawal of consent

 

a) Right of access to your personal information

SODEP allows you, subject to the conditions and exemptions provided by law, to have access to the personal information that SODEP holds about you. Upon request, SODEP will inform you of the personal information it holds, how it is used, including disclosure to third parties, and will give you access to it.

 

b) Right to rectify or delete personal information

You will, of course, be able to rectify Personal Information that SODEP has collected where such information is inaccurate, incomplete, equivocal, out of date or irrelevant to the purposes described in Section 7 of this Policy. You will also be able to have any confidential information collected in a manner that does not comply with the law deleted.

 

c) Right to withdraw consent

Any request for access, rectification or deletion must be made in writing and accompanied by proof of identity. To do so, please contact the Subscription and Member Services Manager (see Contact us section). Upon receipt of the request, SODEP will respond within thirty (30) business days.

19. Statement

 

After reading this Privacy Policy and confirming that they agree with it, any person who is the subject of the collection of confidential information about them declares that they understand that they have been given the opportunity to refuse to allow SODEP to collect confidential information about them and also confirms:

  • That they agree that SODEP may collect confidential information about them for the purposes described in section 7 of this Policy;
  • That they agree that SODEP may share the confidential information collected in order to achieve the common goals described in section 7 of this Policy;
  • That they agree that nominative information concerning them (name, first name, telephone numbers, postal and e-mail addresses) may be transmitted to third parties, partners of SODEP, for commercial or philanthropic prospecting purposes, which prospecting will be related to the objectives specified in section 7 of this Policy and that their choice to adhere to this Policy presents a valid opportunity to refuse that their nominative information be used by third parties for the above-mentioned purposes;
  • That they understand that this consent is revocable.
